This Privacy Policy describes how Viithiisys Technologies (an IT arm of Ibaazar Retailers Pvt Ltd), referred to as "Viithiisys," "we," "us," or "our," collects, uses, shares, and safeguards information when you visit viithiisys.com, request a proposal, book a discovery call, or otherwise interact with our services.

We aim to keep this policy short and plain. If anything is unclear, write to contact@viithiisys.com and we will answer within one business day.

2. Information we collect

We collect information in three categories:

Information you provide

  • Contact details you submit through forms (name, work email, company, project type, budget range, message body).
  • Calendar information you share when booking a call through our scheduling partner (Calendly).
  • Anything you send us by email, signed proposal, statement of work, or uploaded brief.

Browser and device information

  • IP address, approximate region, browser type, and operating system.
  • Pages viewed, referrer URL, and timestamps of your visit.
  • Errors logged by our hosting provider when something breaks.

Cookies and similar technologies

  • Strictly necessary cookies that keep the site working (for example, session identifiers used by our hosting provider).
  • Analytics cookies, where enabled, that help us understand which content is useful. We do not use advertising or cross-site tracking cookies.

3. How we use information

We use the information we collect to:

  • Respond to inquiries and schedule discovery calls.
  • Prepare proposals, statements of work, and contracts.
  • Deliver, maintain, and improve our services for clients we are engaged with.
  • Send transactional messages (project updates, invoices, security notices).
  • Operate the site safely, including detecting abuse, fraud, or security incidents.
  • Comply with legal obligations and enforce our agreements.

We do not sell personal information. We do not use your information to train third-party models without your written consent.

4. How we share information

We share information only with the third parties needed to operate our business:

  • Hosting and content delivery: Vercel and similar infrastructure providers that serve this website.
  • Scheduling: Calendly, when you book a discovery call.
  • Email and communications: Google Workspace and equivalent providers used to send and receive email.
  • Payment and accounting: Banks, payment processors, and accounting platforms used to issue and reconcile invoices.
  • Professional advisors: Lawyers, auditors, and insurers, when necessary and bound by confidentiality.
  • Legal authorities: When we are required by law, court order, or to protect rights, safety, or property.

We require these providers to safeguard your information and to use it only for the purposes we contract them for. We do not sell, rent, or trade personal information to advertisers, data brokers, or marketing networks.

5. Data retention

We retain personal information only as long as it is needed for the purposes described in this policy:

  • Inbound inquiry messages: up to 24 months from the last interaction, then deleted or anonymized.
  • Active client project data: for the duration of the engagement plus 7 years, to meet tax, audit, and contractual obligations.
  • Server logs: typically 30 to 90 days, longer only when needed to investigate a security incident.

6. Your rights

Depending on where you live, you may have the following rights regarding your personal information under the GDPR, the UK GDPR, the CCPA, India's Digital Personal Data Protection Act, Canada's PIPEDA, and similar laws:

  • Access: Ask for a copy of the personal information we hold about you.
  • Correction: Ask us to correct inaccurate or incomplete information.
  • Deletion: Ask us to delete your information, subject to legal retention obligations.
  • Portability: Receive your information in a structured, machine-readable format.
  • Objection and restriction: Object to certain uses of your information or ask us to restrict processing.
  • Withdraw consent: Withdraw any consent you previously gave, without affecting prior lawful processing.
  • Complaint: Lodge a complaint with your local data protection authority.

7. International transfers

Viithiisys operates from offices in India and Canada and works with clients in North America, Europe, the Middle East, and Asia. Your information may be processed in any country where we, our clients, or our service providers maintain operations, including India and Canada.

Where required by law, we use appropriate safeguards for international transfers, including the European Commission's Standard Contractual Clauses or equivalent mechanisms.

8. Cookies

We use a small number of cookies to keep the site functional and to understand aggregate usage. You can control cookies through your browser settings, including blocking or deleting them. Disabling cookies may affect parts of the site that depend on them, such as remembering form drafts.

We do not use cookies to build advertising profiles, share data with ad networks, or track you across other websites.

9. Children's privacy

Our services are intended for businesses and the people who work for them. They are not directed at children. We do not knowingly collect personal information from children under 13 (or under 16 in jurisdictions where that higher threshold applies). If you believe a child has provided us with personal information, contact us and we will delete it promptly.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of the page. Material changes will be communicated through a banner on this site or, where we have a contractual relationship with you, by email.

Continued use of the site after an update means you accept the revised policy. If you do not agree, please stop using the site and contact us if you would like your information removed.
